Student Policy

I agree, as the lawful parent(s) and/or guardian(s) of the Child (the “Parent,” “I” or “me”), to the participation by my Child in the activities and programs as identified (the “Program(s)”) conducted by the Game Warriors location, and to the participation of the Child in all events related to the Program(s).

PROGRAM CLASSIFICATION

THE PROGRAM(S) ARE NOT LICENSED WITH ANY STATE AND ARE NOT CONSIDERED A CHILD CARE FACILITY, DAY CARE FACILITY, AFTER-SCHOOL PROGRAM NOR A PROGRAM THAT OFFERS CHILD CARE SERVICES. AS SUCH, GAME WARRIORS IS NOT REQUIRED TO COMPLY WITH STATE LICENSING STANDARDS, MONITORING REQUIREMENTS NOR STATE IMPOSED REGULATIONS. YOU ACKNOWLEDGE THAT THE CURRICULUM(S) PROVIDED VIA THE PROGRAM(S) DO NOT, AND WILL NOT, QUALIFY GAME WARRIORS TO SERVE AS A CHILD CARE FACILITY, DAY CARE FACILITY NOR AFTER-SCHOOL PROGRAM NOW OR IN THE FUTURE. IF PROGRAM IS DESIGNATED AS SUCH BY THE STATE BECAUSE OF A CHANGE OF LAW, GAME WARRIORS AGREES TO NOTIFY PARENT AND APPLY FOR ANY PERMITTED EXCEPTIONS OR MODIFY THE PROGRAM ACCORDINGLY SO THAT IT IS NOT CLASSIFIED AS A CHILD CARE FACILITY, AFTER-SCHOOL PROGRAM, DAY CARE FACILITY OR ANYTHING SIMILAR, AND PARENT AGREES TO ANY ACTION THAT IS IN FURTHERANCE OF THIS EFFORT.

EQUIPMENT FEE
An equipment fee may be charged at the beginning of each new Program. This fee (if any) varies and is subject to change. The fee is non-refundable and non-transferable. This fee will cover the purchase of equipment used by each student for the specific Program they may be enrolled in.

ENROLLMENT FEE (tuition)
The enrollment fee for classes is due at the beginning of each month for the monthly Programs. The total amount due must be paid for your student to attend Game Warriors.

CAMP FEE
The camp fee for camps must be paid in full and are due prior to the start of the camp.

LATE PAYMENT FEE
A late payment fee of $25 may be applied to your account for any account that is not paid in full by five (5) business days.

RETURN PAYMENT FEE
A $35.00 fee may be charged for any returned payments. Parents are requested to keep a current credit card on file and ensure sufficient funds are available to cover payments.

Parents will be responsible for all collection costs if fees are not paid pursuant to our terms and conditions. After 90 days, we will turn all unpaid balances over to our collection agency.

ATTENDANCE POLICY

Students may arrive no earlier than five (5) minutes prior to their event start time and should be picked up within 30 minutes of the conclusion of their scheduled event time. Students will not be permitted to leave the facility without the accompaniment of an authorized parent or guardian. Students may wait in the lobby for pickup or play games in the game room until Parent arrives. In case of late pick up (over 15 minutes late) a late-pick fee will apply of $45.

GAME ROOM

Use of the Game Warriors Game Room shall be considered a privilege. This privilege can and will be revoked for any breach of the Game Warriors Code of Conduct. Depending on the circumstances involved, students may be able to earn the privilege back with good behavior. 

FOOD/DRINK POLICY

Child may bring a water bottle with a lid. Unless clearly specified in program description (e.g. an all-day camp requiring campers to bring a lunch) child should not bring any other food or drink. Any approved food or drink must be manufactured in a “nut-free” facility.

PHOTO RELEASE

I grant Game Warriors, irrevocable permission to use and publish my child’s photographs in any of Game Warriors publications, marketing materials, and other media (including its videos, website, and social media pages), without royalty or other compensation to me.

VIDEO SURVEILLANCE

I acknowledge and agree that Game Warriors may use video/audio surveillance equipment to monitor the interior and exterior of its premises on a 24-hour basis. I acknowledge that by participating in the Program(s), I and my Child may be subject to video/audio surveillance and recording. Video surveillance is not conducted within the walls of the bathrooms.

WITHDRAWAL PROCESS FOR SCHOOL YEAR PROGRAMS

Parents can cancel at any time via their online account or a written notice via email. 30-days notice is required prior to withdrawing a student.

NO SHOWS

You are responsible for payment for your student’s classes even if they do not attend or if you cancel within 48 hours of the class. This charge will be for holding the student’s place in that class. 

CODE OF CONDUCT 

I understand that my Child must at all times comply with Game Warrior’s Code of Conduct (which may be modified from time to time). I also understand and acknowledge that Game Warrior reserves the right, in its sole and absolute discretion, to immediately dismiss, refuse or discontinue services if I or the Child:

• Engages in conduct that Game Warriors deems to be a violation of the Program and/or the Code of Conduct displayed in the Learning Center and/or The Game Room, as amended as necessary.
• Exhibits behavior that is disruptive, uncooperative, defiant, or dismissive of instruction given by any person in authority;
• Uses harsh, offensive or threatening language or engages in threatening behavior; and/or
• Exhibits any form of bullying (whether it be cyberbullying, physical or verbal acts, or any activity that disrupts the learning environment) For the purpose of this policy, bullying refers to verbal acts (name calling, joking or making offensive remarks about religion, gender, ethnicity, or socioeconomic status), physical acts (punching, tripping, or unwanted physical conduct), or other acts of harassment or intimidation either in person or through other means such as electronically (spreading rumors or posting degrading, harmful, or explicit pictures, messages, or information using social media, email, text or other forms of electronic communication or cyberbullying). Child agrees to notify Game Warriors immediately if he/she becomes aware of bullying or other harmful activity that occurs during the Program. 
• Poses a threat to self, staff or other students.

I acknowledge that class space is limited, and Game Warriors will suffer harm if my Child is dismissed from the Program(s) for any reason above, or for other reasonable cause. I acknowledge and agree that Game Warriors will not be obligated to issue a refund for any amounts paid or due if my Child is dismissed from the Program(s) for any reason. I also acknowledge and agree that I will be responsible for transportation and related costs if my Child is dismissed from the Program(s). Although the Program(s) requires that my Child actively participate in accordance with the Program’s curriculum, GAME WARRIORS DOES NOT WARRANT ANY SPECIFIED SUCCESS RATE WITH RESPECT TO MY CHILD’S PARTICIPATION IN THE PROGRAM(S). I UNDERSTAND THAT THIS PROGRAM TEACHES SPECIFIC SKILLS THAT MY CHILD MAY OR MAY NOT ACQUIRE OR ATTAIN A CERTAIN SKILL LEVEL OR PROFICIENCY DURING THE PROGRAM.

BILLING AUTHORIZATION

I represent and warrant that if I am purchasing something or paying for a service from a Game Warriors facility or from other merchants through Game Warriors that (i) any credit card or bank account draft (ACH Draft) information I supply is factual and complete, (ii) charges incurred by me will be honored by my credit card company or financial institution, and (iii) I will pay the charges incurred by me at the posted prices, including any applicable taxes, fees, and penalties.

I hereby authorize (if online payment is made or autopay information is provided) Game Warriors to charge my ACH draft, or credit card account. I understand that a 30-day written notice is required to terminate billing and I am responsible for payment whether or not my child attends classes until I notify Game Warriors in writing or cancel via my online account to drop my student from class(es).

Disputed charges may constitute a breach of contract possibly resulting in, but not limited to, penalties, additional fees, collection, legal action, and/or termination of any and/or all current and future services.
